Choose a boundary before a mood board

Agree on an overall spending boundary and who is contributing. Write down when each contribution will actually be available rather than treating an informal promise as money already received. Choose three priorities, such as a shared meal, photography and accessible transport. Rank the remaining ideas as optional. This gives you a reason to decline an attractive upgrade without reopening every earlier decision or comparing your celebration with someone else’s.

Separate estimates from commitments

Use columns for item, estimated total, confirmed total, amount paid, remaining amount, payment date and contact. A deposit is part of the total, not an extra expense. For example, a service costing 1,200 units with 300 paid leaves 900 outstanding. Keep an unconfirmed quote visibly separate from an accepted booking. Ask whether delivery, setup, collection and other relevant charges are included before comparing two apparently similar offers.

Review the effect of one change

Keep an unallocated buffer within your agreed boundary rather than automatically spending every available unit. At a regular short review, compare the remaining commitments with money still available. If ten extra guests affect meals, stationery and transport, update all three lines before agreeing. Record who will ask the supplier and by when. A tracker can hold the figures, but only current entries and direct confirmations make the working plan useful.

Take it with you

  • Choose priorities before requesting detailed quotes.
  • Record total cost and payments as different figures.
  • Update every affected category when the guest count changes.
